This Privacy Notice is addressed to all individuals that access Dr. Reddy's Laboratories - Celebration of Excellence 2024 or Dr. Reddy’s | Celebrations ’24Website/App”) for participating in Dr. Reddy’s Celebration of Excellence event (“Event”). This notice generally describes the way in which Dr. Reddy’s and it’s authorised agents (collectively referred to as “we”/ “us”/ “our”), process any personal information about our employees (collectively referred to as “you”/ “your”/ “they” / “their”), that they have made available to us through their interactions with this App. Any collection of personal information is solely to collaborate and enhance the experience of celebrating the Event amongst our employees and their respective families (“Purpose”).

Dr. Reddy’s is responsible for the processing of your personal information as it decides why and how it is processed, thereby acting as the “Data Fiduciary” or “Data Controller” of such personal information as recognized under the applicable Indian Data Protection Law. Hence, this Privacy Policy describes the types of information we collect, how we use the information, with whom we share it, and the choices you can make about our collection, use, and disclosure of your information. We also describe in this Privacy Policy the measures we take to protect the security of your Personal Information and how you can contact us about our privacy practices.

Please note, when you visit the App or provide us with information, you consent to the use and disclosure of the information as described in this Privacy Policy.

TYPE OF PERSONAL INFORMATION BEING COLLECTED AND ASSOCIATED PURPOSES

We collect the personal information you provide directly to us and the information which the App collects automatically upon your usage of the same (detailed hereinbelow). We will collect and use your personal information solely with the objective of fulfilling the Purpose specified by us, within the scope of the consent of the individual concerned or as required by law. We will only retain personal information as long as necessary for the fulfilment of the Purpose. We will collect personal information by lawful and fair means only and with your knowledge and consent (“legal basis”).

The types of personal information we may obtain, and associated purposes include:

  • General identification and demographic information: which is information that identifies you, such as your full name, official email ID, official phone number(s), city and country and profile image. We will collect this information to allow you to register for the event, enable your access to the App, update your profile, enable your other interactions on the App during the Event such as access to venue map, provide real-time updates and reminders, and lastly to inform you about other colleagues attending the event.
  • In-App Content Submissions: this includes any personal information submitted through the in-App functionalities that you choose to use. This includes functionalities such as:
    • ‘Photobooth’, that allows you to take selfies and share it with your colleagues on a real-time basis, vote your favourite photos/images etc.
    • ‘Live Feed’, which allows you to interact with other colleagues using real-time posts (including text and pictures), like and comment on other’s posts etc. Please note that by posting a picture using this feature you are authorising us to gain access to all pictures in your gallery. Where possible you must limit permission to access only select pictures.
    • ‘Leaderboard’ feature which awards points and ranks attendees based on their activity on the App, such as booth visits, check-ins etc.

Please also note that where you share personal information of other individuals such as pictures of your family members etc, you have the duty to ensure that you have their consent to share such information with us. Where such family members include children or minors, your sharing of such information will be considered as an act of a parental or an official guardian consent.

  • Other Information including electronic identifiers: We collect information stored in your social media profile that you authorize us to access when you use your social media profile to execute functionalities on the App, such as sharing pictures with your family your friends on social media.

In addition, when you visit our App, we may collect certain information by automated means, to understand how the App is being used and what the engagement is like, allowing us to improve our approach. Such information may include but is not limited to cookies and web beacons, as described in more detail later in this policy as well as:

  • Information about the devices our visitors use to access the App (such as the IP address and the device, browser and operating system type).
  • Dates and times of visits to our App and the time spent.
  • Information on actions taken on our App (such as functionality usage, navigation patterns or activity).
  • A general geographic location from which a visitor accesses our App

HOW LONG DO WE KEEP YOUR PERSONAL INFORMATION?

We will will retain your Personal Information only till the completion of the Purpose. When your personal data is no longer required, we will ensure it is either securely deleted or stored in a way that means it will no longer be used by us and/or any other third parties.

Further, you shall always have the right to directly request any deletion of the personal information provided by you. In some circumstances, we may retain your Personal Information for longer periods of time, for instance where we are required to do so in accordance with any legal, regulatory, tax, or accounting requirements.

SHARING OF INFORMATION

The App is developed and being facilitated by our third-party named “vFairs”, who will act in the capacity of “Data Processor”. Your personal information shall be accessible to vFairs as well as their sub-processors. However, they are contractually bound under the terms of confidentiality and data privacy principles as mentioned herein.

DISCLOSURE OF INFORMATION

In addition to the circumstances described above, we may disclose your personal information if required to do so to fulfil our legal obligations and legitimate interests:

  • By law, required by any enforcement authority for investigation, by court order or in reference to any legal process;
  • For regulatory, internal compliance and audit exercise(s)
  • To enforce or protect our rights or properties or any or all of our affiliates, associates, employees, directors or officers or when we have reason to believe that disclosing your personal information is necessary to identify, contact or bring legal action against someone who may be causing interference with our rights or properties, whether intentionally or otherwise, or when anyone else could be harmed by such activities.
  • Such disclosure and storage may take place without your knowledge. In that case, we shall not be liable to you or any third party for any damages howsoever arising from such disclosure and storage.

Appropriate technical and organizational measures have been implemented to provide an adequate level of security and confidentiality of your personal information.

The purpose of these measures is to keep your personal information secure and to protect it against accidental or unlawful destruction or alteration, accidental loss, unauthorized disclosure, or access, and against other forms of unlawful forms of processing.

HOW YOU CAN PROTECT THE PERSONAL INFORMATION AND ENSURE PRUDENT USAGE OF THE APP?

As a user of the App, you understand and agree that you assume all responsibility and risk for your use of the App, the internet generally, and the documents you post or access and for your conduct on and off the App. To further protect yourself, you should exercise discretion on what access you decide to give to the App and what you would like to post online. Kindly safeguard your username and password and not share that information with anyone. You should also deny all access to the App and delete the same on completion of the Event to safeguard all your information. Please also be mindful of your colleague’s choice, safety and comfort and avoid posting any information pertaining your fellow colleagues, without their consent. Exercise prudence when commenting, downloading, sharing any information of yourself/family members/colleagues, etc. to avoid any uncomfortable circumstances.

YOUR DATA PROTECTION RIGHTS

We would like to make sure you are aware of available data protection rights. Depending on your location, you may have the right to exercise certain privacy rights under applicable laws, including:

  • Right to access – You may have the right to approach us for copies of your personal data.
  • Right to rectification – You may have the right to request that we correct any information you believe is incorrect. You may also have the right to request us to complete information you believe is incomplete.
  • Right to erasure – You may have the right to request that we erase your personal data, under certain conditions.
  • Right to restrict processing – You may have the right to request that we restrict the processing of your personal data, under certain conditions.
  • Right to object to processing – You may have the right to object to us processing of your personal data, under certain conditions.
  • Right to withdraw consent – You may withdraw your consent at any time. Please note that such withdrawal shall not affect the legality of the processing of personal information based on the consent before such request is made;
  • Right to grievance redressal – You may raise with us any grievances that you may have in relation to the way your personal information is processed; and
  • Right to nominate – You may nominate another individual to exercise your privacy rights on your behalf in case of your inability to do so or in an unfortunate event of your death.

We may to revise the Privacy Policy during the course of the Event, to suit various legal and business requirement. We encourage you to visit the policy on the App to keep yourself updated on such changes.
